CaseTrack Pro offers two options. You can download an ICS file for any individual case with one click, or subscribe to your personal iCal feed URL to get automatic, always-current updates in Outlook, Google Calendar, or Apple Calendar. Subscription mode means new cases and reschedules appear in your external calendar within minutes — no manual re-download required.

Does the calendar export include the scheduled time and hospital location?

Yes. Every exported event includes the case name, hospital, surgeon, procedure type, scheduled time, and coverage status. Times are rendered in your local timezone so there is no manual conversion when cases span multiple hospital systems or time zones.

Can I subscribe to a team calendar that shows all reps' cases?

Accepted Answer

Managers and admins can generate team-level iCal subscription URLs that aggregate cases across their assigned reps. Individual reps receive a personal feed scoped to their own cases. Both feeds update automatically as cases are created, rescheduled, or cancelled.

What happens in the external calendar when a case is cancelled or rescheduled?

Subscription-based iCal feeds reflect changes automatically. When a case is rescheduled the event updates to the new time; when a case is cancelled the event is removed. One-click ICS downloads capture a point-in-time snapshot, so if you rely on downloads you will need to re-download after changes.

Is the iCal subscription URL secure?

Yes. Each subscription URL is unique, cryptographically signed, and tied to a specific user or role. URLs do not expose any PHI beyond what a rep would see inside CaseTrack Pro, and they can be revoked from the settings panel if a device is lost or a team member leaves.
